Readiness Check
A repeatable workflow needs more than tools. Use these eight prompts to make the people, inputs and decisions clear before you consider an implementation.
No booking or newsletter sign-up required. Your answers stay in this browser tab; they are not sent to Bluejay Pixel or saved by this page. Print or save a PDF before leaving if you want to keep them. Avoid entering confidential client information.
How to use this: Work through the prompts with the person who would operate the system. Mark what is ready and what needs arranging. Your next step is based on your answers: discuss deployment, resolve prerequisites, or arrange an operator first. This is guidance, not a confirmed technical assessment.
Map the process you have now.
How does a topic become a published piece? Include research, scripts, recording, file transfers, editing, thumbnails, review and publication. Note where the tools and people change.
If there’s a gap: Trace one recent piece of content from idea to publication. Write down every handoff and who owns it.
Name the biggest bottleneck.
Where does work stall or need repeating: research, finding a local angle, rewriting, editing, file handoffs or approvals?
If there’s a gap: Review the last few pieces with your team. Choose the recurring obstacle that a clearer workflow could address.
Assign the person who will run it.
Will the operator be the realtor, an assistant, a marketing coordinator or an existing editor? Do they have protected time to practise and operate the workflow?
If there’s a gap: Agree the role and weekly operating time before choosing tools. Invite that person to the readiness discussion. An existing editor can be a strong operator.
Check your recordings and permissions.
Can you supply usable audio and video that you are authorised to use? Include permission for any people, properties, footage, images or other material that appears.
If there’s a gap: Make a short sample recording, check picture and sound, and confirm permissions. Gather authorised examples without sending confidential client files in an initial enquiry.
Decide who checks and approves.
Who verifies facts, local claims and permissions; reviews captions and edits; and makes the final publication decision? Your team owns that responsibility.
If there’s a gap: Name the final reviewer and write a short pre-publication checklist. Include accuracy, permissions, brand voice and suitability for your audience.
Confirm environment and account access.
Can your team control the agreed environment and vendor accounts? Can the required permissions be granted through approved access methods?
If there’s a gap: List your current tools, account owners, hardware and access restrictions. Resolve ownership and access with the right administrator. Do not put passwords or access keys in this check.
Plan the whole operating budget.
The implementation is CAD $6,500 before applicable tax: CAD $3,250 on signing and CAD $3,250 after the agreed acceptance test passes. Third-party costs and your team’s operating time are additional.
If there’s a gap: Identify the budget owner and allow for internal time. Software, usage, infrastructure, hardware and licence costs will be itemised before signature; request those costs before deciding.
Make room for training and practice.
Can up to two named operators attend four live 75-minute sessions, practise between sessions and make timely decisions? The designated operator must demonstrate the workflow independently on fresh inputs.
If there’s a gap: Review calendars with your operator and protect practice time. The thirty calendar days start only at the mutually agreed readiness date, after setup, inputs and training dates are confirmed.
TURN THE GAPS INTO NEXT STEPS
A clearer starting point.
For each item that needs arranging, assign an owner and a next action. Use the guidance above to prepare. If the role, recordings or budget are not available yet, address those first.
Your answers are optional. Use the prompts to guide a practical conversation with your team.
